Overview/Risks

The primary responsibility of this role is to perform the daily processing of customer and partner sales orders received byfax, EDI and email, perform database updates, and execute a variety of monthly partner and customer billings. Additionalresponsibilities include allocating tissue to open orders and reconciling consignment order discrepancies in accordancewith department Operating Procedures and Work Instructions. The individual must comply with all ISO, AATB, & FDArequirements pertaining to the Customer Service Sales Order Entry role.

Responsibilities

  • Accurately process orders via fax, EDI and email for Direct, POR, TrialEvaluation, Kit, Grant, Sample and Consignment orders. Demonstratesmeticulous attention to detail and can review critically and expeditiouslycustomer account information so that each order is processed according to established service fee concessions, tissue specifications and shippingrequirements. Assumes sole ownership for accurately processing andproofreading critical, time sensitive orders for next day surgeryrequirements.
  • Processes all open customer billing requests promptly to meet monthlysales objectives. Must have the ability to research order discrepancies,including incorrect serial numbers and service fees, as well as reconcilinginventory transactions to bring issues to resolution. Must provide tissuetrace records upon request.
  • Performs partner data updates and billings including, product line writeoffs and monthly partner and customer storage and freight billings.
  • Allocates newly available tissue for multiple tissue forms to partnermonthly standing orders as requested to meet shipping schedules, and tocustomer backorders, in accordance with MTF Biologics distribution policy.
  • Communicates as needed with Shipping, Accounts Receivable,Sales/Contracts, Sales Consultants and Customers regarding order logistics,including priorities, changes, inventory availability, discrepancies, pricing andcredit holds.
  • Maintains records of all orders in accordance with department protocolsand provides order confirmations including those sent via secured email,web link, and EDI so that discrepancies can be identified and resolved.Provides FEDEX and UPS tracking information and proof of delivery uponrequest. Notifies customers regarding carrier delivery exceptions andprovides information as required to address delay and expedite delivery orreturn.
  • Performs order clearing to confirm receipt of all orders with MTF and/orBusiness Partner Customer Service department on an as needed basis.Generate needed backorder reports and miscellaneous order related reportsas required.
  • Demonstrates proficiency in all applicable systems currently utilized byMTF such as ERP, Tissue Trace Software, Credit Card Processing Software,GMP Compliance Software, and Reporting tools. Must possess the ability tosuccessfully navigate the systems listed above to solve problems.
  • Responsible for processing all credit card requests through credit cardprocessing system prior to release of order.
  • Perform additional duties as assigned.

Qualifications

  • High School Diploma or G.E.D. Required
  • Minimum of 3 years High volume order entry experience with excellent attention to detail.
  • Must be able to perform with a high degree of accuracy and attention to detail.
  • Works effectively in a fast paced high volume environment
  • Able to work independently under general supervision and prioritize tasks.
  • Strong time management and organizational skills.
  • Ability to communicate clearly and effectively in a cross functional team environment.
  • Proficient in Microsoft Outlook
